As we prepare to launch Celoxis v15, we’re thrilled to share some exciting changes. This release represents a complete reimagining of our UI/UX, designed from the ground up to provide a sleek, intuitive, and efficient experience. The feedback from early testers has been overwhelmingly positive—they’ve praised the simplicity and elegance of the new design, and we can’t wait for you to experience it.
However, we also want to be upfront about the challenges we’ve encountered along the way. During QA testing, we identified issues that made us take a deeper look at our product’s overall complexity. After careful analysis, we realized that some of these challenges stem from the sheer number of features we’ve accumulated over the years—many of which are rarely, if ever, used.
Why Change Is Necessary
Celoxis has been a trusted partner in project management for 24 years, but we recognize that the needs of teams and businesses evolve over time. To ensure that Celoxis continues to deliver the best possible experience, we undertook a careful analysis of our features. This decision was based on usage data, customer feedback, and industry benchmarks.
The findings were clear: while Celoxis offers extensive functionality, a portion of it is either rarely used or no longer aligns with the core needs of our users. This portion was adding unnecessary complexity, slowing down development, and even making seemingly simple enhancements—like adding an "undo" feature to the Gantt chart—disproportionately difficult. By streamlining the product, we can focus on the features and improvements that matter most to you.
Streamlining for the Future
To address this, we’re taking bold steps to simplify Celoxis. Starting with v15, we will retire features that are rarely used. This decision allows us to focus on what truly matters: delivering meaningful updates, improving performance, and introducing innovative features faster than ever.
The following features will be phased out or modified in v15:
- % Complete Methods – Weighted Average and Based on Time Logged
Currently, we support multiple methods: Last Entered, Weighted Average, and Computed from Timesheets. However, our analysis shows that over 97% of projects use the ‘Last Entered’ method, making the other options an unnecessary overhead. Going forward, we will retain only the ‘Last Entered’ option, simplifying the experience without impacting most users. - Entering Task Allocation in Hours
At present, users can enter total hours for a resource on the allocation screen. However, we’ve observed that most customers have one resource per task, where the task’s total effort is already sufficient. Additionally, over 90% of project managers work in the Microsoft Project style, entering percentages rather than hours. Supporting both methods adds complexity without significant value, so we’ll focus on the percentage-based approach. - Prompting Users for Resolutions on Duration, Work, and Allocation Units
For example, when a task is marked as Fixed Work and the work (effort) changes, we currently prompt users to resolve whether to adjust Duration or Allocation Units. Based on user feedback and common practices, we will no longer prompt users in such cases. Instead, we will adopt sensible defaults that align with what most managers prefer. - Changing the Meaning of "% Complete” for Tasks
The current definition of % Complete as % Work Complete has caused confusion among many project managers, who expect it to align with Microsoft Project’s % Duration Complete. To address this, we will update the default behavior to % Duration Complete and offer % Work Complete as a separate column for users who need it. - Discussions on Documents
Previously, it was possible to start discussions on individual documents. This feature will no longer be available moving forward.
If you rely on any of these features, don’t worry—we’re here to help. Our team will work with you to identify solutions that meet your needs, whether that’s an alternative within Celoxis or a recommendation for an external tool.
A Commitment to the Future
We understand that evolving the product is an ongoing process. That’s why we are committed to continuously analyzing usage data and customer feedback as we move forward. By following this approach, we can ensure that Celoxis evolves in line with your needs and remains a fast, intuitive, and reliable solution for years to come.
What This Means for You
This shift isn’t just about removing features—it’s about creating a leaner, more powerful tool that evolves with your needs. By eliminating unnecessary complexity, we’ll be able to:
- Roll out updates and new features faster.
- Ensure a cleaner, more intuitive user experience.
- Focus on what matters most to your success.
With this streamlined approach, you’ll never have to worry about slowdowns or limitations as your team or projects grow. Instead, Celoxis will remain a fast, reliable, and innovative solution for the long haul.
